This role is focused on keeping daily operations organized, managing communications, coordinating schedules, and ensuring that important tasks and follow-ups are handled efficiently. The position will also involve some client intake responsibilities.

The ideal candidate is responsive, resourceful, and comfortable working independently while anticipating needs and taking initiative.

Responsibilities

  • Manage incoming emails, organize communications, and draft professional correspondence.
  • Prepare and manage administrative documents, letters, and orders.
  • Maintain the attorney's calendar, schedule appointments, and coordinate calls and meetings.
  • Monitor pending tasks and follow up to ensure deadlines and priorities are met.
  • Provide day-to-day administrative and organizational support to the attorney.
  • Assist with client intake, including handling initial inquiries and gathering relevant information.
  • Help keep daily operations running smoothly and ensure nothing falls through the cracks.

Requirements

  • Previous experience as an Administrative Assistant, Executive Assistant, or Personal Assistant.
  • Excellent written and verbal English communication skills.
  • Strong organizational and time-management skills.
  • Ability to draft professional emails and correspondence.
  • Comfortable managing calendars, emails, and multiple priorities.
  • Proactive mindset with strong attention to detail.
  • Ability to work independently, anticipate needs, and follow through on tasks.
  • Experience in a law firm or legal environment is a big plus
  • Full-time position.
  • Monday to Friday, 9:00 AM – 5:00 PM (U.S. time zone)

Important Note

This is an administrative support position, not a paralegal role. The primary focus is supporting the attorney with daily administrative responsibilities, communication, scheduling, and some client intake.
