RECRUITMENT ADMINISTRATION & COORDINATION

  • Manage the recruitment administration process for high volume vacancies across all brands.
  • Review and approve recruitment requisitions in accordance with agreed recruitment processes and approval requirements.
  • Ensure requisitions contain the required information before progressing recruitment activity.
  • Create and post job advertisements across approved advertising platforms.
  • Ensure job advertisements are accurate, appropriately branded and aligned with approved position descriptions.
  • Monitor active, closing and expired job advertisements and take appropriate action to ensure vacancies remain live and visible for the required recruitment period.
  • Maintain accurate candidate and vacancy records within JobAdder.
  • Update candidate statuses throughout the recruitment process, including unsuccessful, shortlisted, interview, resume submitted and other relevant stages.
  • Ensure recruitment activity and candidate records are completed accurately and within agreed timeframes. CANDIDATE SCREENING & MANAGEMENT Assist with the initial screening of applications against agreed recruitment criteria. Review candidate resumes and applications and identify candidates suitable for progression. Progress suitable candidates through the agreed recruitment workflow. Actively communicate with candidates throughout the recruitment process and ensure they are kept informed of next steps and engaged throughout the process. Advise candidates of the outcome of their application in a timely and professional manner. Respond to candidate queries and escalate more complex queries to the appropriate Talent Team member. Ensure candidates receive a consistent and positive recruitment experience regardless of brand, location or role. Monitor candidate activity and proactively follow up outstanding actions to prevent delays in the recruitment process. RECRUITMENT OPEN DAYS & HIGH-VOLUME CAMPAIGNS
  • Coordinate recruitment Open Days and other high-volume retail recruitment initiatives.
  • Support the Talent Team with candidate invitations, attendance tracking, interview scheduling and candidate communications.
  • Maintain accurate Open Day and recruitment campaign trackers.
  • Assist with candidate shortlisting and scheduling for high-volume recruitment campaigns.
  • Support the coordination of recruitment activity across multiple locations and brands during peak periods, including Christmas Casual recruitment. PRE-EMPLOYMENT CHECKS
  • Coordinate and complete reference checks in accordance with Brandbank Group processes.
  • Conduct employment verification checks where required.
  • Request and follow up required candidate documentation, including passports, visas and evidence of work rights.
  • Ensure required documentation is received, recorded and appropriately escalated where outstanding.
  • Monitor pre-employment requirements and follow up candidates to ensure checks are completed within required timeframes.
  • Escalate any concerns or exceptions to the appropriate Talent Team or HR representative. SERVICE LEVELS & PROCESS MANAGEMENT
  • Manage candidates through the recruitment process to ensure agreed Service Level Agreements (SLAs) are consistently achieved.
  • Monitor recruitment workflows and identify vacancies or candidates at risk of exceeding agreed timeframes.
  • Proactively follow up Hiring Managers and Talent Team members where actions are outstanding.
  • Escalate recruitment delays, candidate risks or process issues where required.
  • Ensure recruitment processes are consistently applied across all brands and countries.
  • Identify opportunities to improve recruitment administration, efficiency and candidate experience. REPORTING & DATA
  • Maintain accurate recruitment data and reporting within JobAdder and other relevant systems.
  • Prepare regular recruitment reports and updates on vacancy activity, candidate progress and recruitment outcomes.
  • Monitor key recruitment metrics including vacancies, applications, candidate progression, timeframes and SLA performance.
  • Maintain accurate recruitment trackers and campaign reports as required.
  • Identify trends, issues or recruitment bottlenecks and escalate these to the Talent Acquisition Manager.
  • Support the Talent Team with data and reporting for regular recruitment reviews and business updates. WORK HEALTH & SAFETY

  • Diploma or bachelor’s degree in human resources, Business Administration, Business Management or a related discipline is desirable. Experience:
  • Previous experience in recruitment, talent acquisition, recruitment coordination or high-volume hiring within Australia (New Zealand would be advantageous).
  • Retail fashion experience
  • Proven successful managing high volume vacancies and candidates simultaneously.
  • Experience using an Applicant Tracking System (ATS), preferably JobAdder or a similar system.
  • Ability to build strong stakeholder relationships Attributes:
