About the Opportunity

We're looking for a highly organised, proactive and dependable Office Administrator / Administrative Coordinator to support a busy business owner and help keep daily operations running smoothly.

This role is ideal for someone who enjoys administration, takes pride in being organised and is naturally good at keeping track of details, following up on outstanding tasks and bringing structure to a busy working environment.

You'll be responsible for managing a variety of administrative tasks, maintaining records and spreadsheets, coordinating information and ensuring that important items don't get overlooked.

The ideal candidate doesn't need to have held a senior administrative title or managed a team. We're more interested in someone who takes ownership, works independently, communicates confidently and has the initiative to identify what needs to be done without waiting for constant direction.

Requirements

Key Responsibilities

  • Provide general administrative and operational support to the business owner.
  • Organise and maintain business documents, records and digital filing systems.
  • Maintain spreadsheets and trackers using Microsoft Excel or Google Sheets.
  • Track outstanding tasks, deadlines, supplier orders and follow-ups.
  • Assist with coordinating administrative aspects of ongoing projects.
  • Monitor outstanding customer payments and assist with follow-up communication.
  • Help manage supplier information, orders and related documentation.
  • Assist with permits, project documentation and contractor administration where required.
  • Communicate with suppliers, customers and other relevant parties professionally.
  • Keep the business owner informed of outstanding items, upcoming deadlines and matters requiring attention.
  • Identify administrative gaps and proactively find ways to improve organisation and processes.
  • Ensure daily administrative tasks are completed accurately and on time.

Requirements & Essential Skills

  • Previous experience in office administration, administrative coordination or a similar role.
  • Strong organisational and time-management skills.
  • Excellent written and verbal English communication skills.
  • Good working knowledge of Microsoft Excel or Google Sheets.
  • Ability to manage multiple tasks and follow through without constant supervision.
  • Strong attention to detail and accuracy.
  • Comfortable learning new systems, software and processes.
  • Reliable, resourceful and proactive with a strong sense of ownership.
  • Ability to work independently and prioritise tasks effectively.
  • A practical, solutions-oriented approach to problem-solving.

Advantageous Experience

The following experience would be beneficial but is not essential:

  • Experience in construction, electrical contracting, property maintenance or another project-based service business.
  • Familiarity with permits, project documentation or contractor administration.
  • Previous experience supporting a small business owner or managing a busy administrative workload.
  • Experience tracking supplier orders, deliveries and outstanding customer payments.
  • Exposure to coordinating multiple projects, suppliers or service-related activities.

Ideal Candidate Profile

The ideal candidate is someone who enjoys administration and takes pride in keeping things organised. They are naturally proactive, resourceful and dependable, with the ability to bring structure to a busy business.

They don't need to have managed a team or held a senior administrative position. What matters most is their ability to take ownership, work independently, communicate clearly and make the owner's day easier.

We're looking for someone who notices what needs to be done, takes initiative, follows through and keeps things moving without needing constant supervision.
