About the Role
OpenLoop’s mission is to bring care anywhere by powering telehealth solutions at scale. As an Executive Assistant, you will support two or more leaders or functions through a mix of scheduling, coordination, communications, meeting preparation, action tracking, and general administrative execution. You will help leaders move faster and stay focused by creating order, anticipating needs, and ensuring important details do not fall through the cracks. Success requires high reliability, discretion, sound judgment, strong communication, and comfort working in a fast-moving environment.
What You'll Do

Manage complex calendars and meeting logistics across multiple stakeholders and time zones.

Coordinate travel, expenses, events, and administrative tasks with attention to detail and strong follow-through.

Prepare meeting agendas, briefing materials, slides, and other support documents as needed.

Track action items and follow up with stakeholders to ensure timely execution.

Serve as a reliable point of coordination across teams, helping leaders stay organized and responsive.

Anticipate needs, identify scheduling or coordination conflicts early, and propose solutions.

Handle sensitive information with professionalism and discretion.

Contribute to shared team playbooks, support coverage models, and process improvements as the centralized EA function grows.

Who You Are
-
3+ years of administrative, coordinator, executive support, operations, or project support experience
-
Strong organizational skills and exceptional attention to detail.

Clear written and verbal communication.
-
Ability to prioritize, stay calm under pressure, and manage multiple moving pieces at once.

Good judgment, professionalism, and discretion with confidential information.
-
Comfort with ambiguity and a service-oriented mindset.
-
Strong follow-through and reliability.
-
Experience supporting senior leaders, preparing slides/materials, or coordinating across functions is a plus.
-
Experience with internal mobility, stretch assignments, or demonstrated high-potential performance in a prior OpenLoop role is a nice to have.
