The ideal candidate must have previous experience working with U.S. law firms and conducting client intake interviews, preferably within the Personal Injury (PI) industry.

This position plays an important role in the litigation process by serving as a direct point of contact between clients and the legal team. The specialist will be responsible for conducting structured phone interviews, gathering essential case-related information, guiding clients through questionnaires, and ensuring that all information is accurately collected and documented.

The role involves handling both inbound and outbound calls, communicating with clients in English and Spanish, and working closely with paralegals and legal assistants to support case preparation and ensure that all necessary client information is available.

Key Responsibilities

  1. Client Communication & Phone Interviews
  • Handle both inbound and outbound calls with clients.

  • Conduct structured phone interviews using predefined questions and case-related questionnaires.

  • Communicate directly with clients to gather relevant information about their cases.

  • Guide clients through the interview process in both English and Spanish.

  • Maintain a professional, empathetic, and client-focused approach during every interaction.

  1. Client Intake & Information Collection
  • Collect detailed client information, including personal details, case-related facts, and other relevant documentation or information.

  • Ensure that all responses are accurately recorded and properly documented.

  • Review and verify information to identify missing details, inconsistencies, or incomplete answers.

  • Follow up with clients whenever additional information or clarification is required.

  1. Litigation & Legal Team Support
  • Work closely with paralegals and legal assistants to support case preparation.

  • Organize and provide collected client information to the appropriate legal team members.

  • Assist in ensuring that client questionnaires and case records are complete and accurate.

  • Help maintain an efficient information-gathering process to support the litigation team's workflow.

  1. Documentation & Confidentiality
  • Maintain accurate, organized, and updated client records.

  • Ensure that all client information is handled professionally and confidentially.

  • Follow established procedures for documenting interviews and managing sensitive legal information.

  • Pay close attention to detail to minimize errors and ensure information accuracy.

Requirements

  • Previous experience working with U.S. law firms is required.

  • Previous experience in client intake is required.

  • Personal Injury (PI) law firm experience is highly preferred.

  • Familiarity with California law firms, California Personal Injury cases, or California legal procedures is preferred.

  • Near-native English proficiency (C2 level) is required.

  • Fluent in both English and Spanish, with the ability to conduct professional conversations in either language.

  • Excellent verbal and written communication skills.

  • Strong attention to detail and information accuracy.

  • Comfortable conducting phone interviews and speaking directly with clients.

  • Ability to handle both inbound and outbound calls professionally.

  • Strong organizational and multitasking skills.

  • Ability to handle confidential and sensitive client information.

  • Comfortable following structured questionnaires, scripts, and established procedures.
