People Services Coordinators help make sure our people have a great experience every day. You will be obsessed with providing a friendly, professional and consistent experience to all employees throughout their career with Nasstar. You’ll take part in making sure our processes run efficiently and fairly for all our people at all aspects of their career journey with us.

This role will suit you if you have strong administrative and organisational skills. The role heavily interacts with other People Team members and so will suit you if your focus is on working with and supporting others.

What Success looks like:

People Experience: you will help to provide a great experience for all our people by making sure we meet commitments, give clear advice/guidance, and treat them fairly.

Organised and Documented: you’ll keep really organised in order to make sure all our process steps are completed and all checks, documentation and follow ups take place on time. You’ll also make sure everything is accurate and documented so we can always see and understand what has been done, easily demonstrating compliance with any legal or certification requirements.

Confidentiality and Information Security: you will be exposed to confidential personal and business information and so complete confidentiality must be maintained at all times, only releasing information to those authorised to receive it.

Key Responsibilities

Documentation and Process:

• Coordinate the completion of all people related processes, proactively following up to complete key tasks. Escalate any issues to make sure processes are followed.
• Documentation includes but is not limited to starter and background checks, on boarding, changes to roles, performance management, training requests.
• Propose improvements to processes for a better employee experience and to reduce administrative efforts.
• Make sure people records and data are up to date and accurate.
• Support Talent Acquisition processes as required.
• Own payroll processing and follow up queries for UK and Malaysia.
• Own the terms and benefit updates on systems and updating of providers where necessary.

Help New People Settle In

• Make sure new starters are welcomed into the business and that we have prepared for their arrival. Drive other departments and managers to set up equipment, logins etc.
• Participate in new starter induction training as necessary.

Engagement and Experience

• Resolve employee questions and enquiries, or direct them to appropriate contacts.
• Support the implementation of policies and procedures, including representing the People Team in investigations or disciplinary/grievance meetings.
• Promote the wellbeing and fair treatment of all of our people.

Reporting and Communication

• Prepare reports and analyse data as required, including after conducting new starter or engagement surveys, exit interviews.
• Respond promptly and professionally to employee enquiries, escalating when you have exhausted resources at your disposal to locate answers/resolutions.
• Coordinate regular communication from the People Team to managers and the wider business.
• Contribute content for newsletters, e-bulletins and other updates.

Skills, Knowledge and Expertise

• Has an interest in admin and enjoys admin tasks.
• You will have exposure to people who just start their careers up to senior leaders so some stakeholder management would be ideal.
• Very well organised as there are a lot of things happening and we have a small team so needs to be able to plan and deliver before the deadlines. Takes pride in own work and wants to create a good name in the business
• Extremely accurate and attention orientated
• Has curiosity, doesn't want things served on a plate, will go away to look for answers.
• Takes accountability and owns tasks.
• Have some knowledge of people related matters in UK (ACAS code of practice, policies/processes etc.)
• Good at excel (vlook ups, pivot tables etc.) or knows how to use AI (Copilot) to get the information needed and some basic maths knowledge (knows how to pro-rate entitlements for example)

Preferably someone with previous exposure to HR information systems, contract generation, payroll processing, benefit updates but also some policy/process knowledge so could easily answer questions such as "Am I eligible for paternity pay", "What is the minimum wage", "Why did I get so much taxed this month" for example.
