Job Overview

As a Project Coordinator, you will provide essential coordination and administrative support to project teams, helping ensure that project activities, deliverables and timelines are effectively managed throughout the project lifecycle.

Working collaboratively with internal teams and external stakeholders, you will coordinate meetings, maintain project documentation, track project activities and support the smooth execution of day-to-day operations.

You will play an important role in keeping projects organised and on track, ensuring effective communication, accurate documentation and timely follow-up on outstanding actions.

Key Responsibilities

  • Coordinate project activities, meetings, presentations and training sessions, including preparing agendas, materials, minutes and following up on action items.

  • Provide day-to-day administrative and coordination support, monitoring project timelines, milestones, dependencies and outstanding deliverables.

  • Create, maintain and organise project documentation, records, reports and trackers, ensuring accuracy, completeness and compliance with established processes.

  • Liaise with internal teams and external stakeholders, responding to routine queries, communicating updates and ensuring requests are followed through appropriately.

  • Proactively identify potential delays, missing information and project-related issues, escalating risks and supporting timely resolution.

  • Support quality and audit activities by maintaining accurate project records and ensuring documentation is readily available when required.

Experience & Qualifications

  • Degree or diploma in Business Administration, Project Management, Life Sciences or a related field, or equivalent relevant experience.

  • Previous experience in project coordination, project administration or a similar role.

  • Experience within a CRO, pharmaceutical or clinical research environment is preferred.

  • Strong organisational and time-management skills, with the ability to coordinate multiple activities and manage competing priorities.

  • Excellent communication and interpersonal skills, with the ability to work effectively with internal and external stakeholders.

  • Strong attention to detail, problem-solving abilities and proficiency in Microsoft Office applications.

  • Proactive and collaborative approach, with strong accountability and the ability to work independently.

Nice to Have

  • Familiarity with clinical research processes and Good Clinical Practice (GCP).

  • Experience using project management systems, CTMS or electronic document management platforms.
