Client Services Coordinator

If you're the kind of person who takes pride in keeping things running smoothly, communicating clearly, and getting things done without being asked twice, this role was written for you.

We're looking for a Client Services Coordinator to join the Manila team supporting BDA - one of the world's leading branded merchandise companies. You'll work directly alongside global Account Managers, helping deliver merchandise programs for some of the biggest brands in the world. This is a coordination and client support role at its core, but it's also a clear starting point for a career in sales.

What the Career Path Looks Like

The CSC role is BDA's entry point into client-facing work. Most of the Account Managers in the business started here. Within two years, high performers regularly move into full Account Manager roles, where they manage their own client portfolios and lead their own programs. If you want a career in global sales or account management, this is a well-worn path to get there.

What You'll Be Doing

  • Support global Account Managers by coordinating branded merchandise programs across multiple international markets

  • Source, price, and present merchandise options to clients, working with vendors across different regions

  • Prepare quotes, sales proposals, and cost analysis reports

  • Process and track orders from initial request through to final delivery, making sure every detail is accurate

  • Liaise with vendors on pricing, timelines, and product quality

  • Monitor shipments and get ahead of delays before they become problems

  • Maintain order records, status reports, and inventory tracking across multiple accounts

  • Use Excel to analyse order trends and operational data

  • Work cross-functionally with sales, finance, logistics, and creative teams to keep programs on track

  • Identify risks early and solve problems before they reach the client

What We're Looking For

We're open to a range of backgrounds. If you've worked as an Executive Assistant, Virtual Assistant, or in an admin coordination role supporting senior stakeholders, you'll find a lot of this work familiar. We're also interested in candidates from sales support, order management, purchasing, or customer service backgrounds. What matters most is how you work, not exactly where you've worked.

Essential:

  • 2 or more years in a coordination, admin, sales support, or client-facing role

  • Strong written and spoken English - you'll be communicating with international clients and vendors daily

  • Comfortable working with data and reports, and confident in Excel

  • Good at managing multiple priorities without things falling through the cracks

  • Proactive about chasing things down and flagging issues early

  • Professional and clear communicator, whether by email, Teams, or on a call

Nice to have:

  • Experience supporting an executive or senior stakeholder in a fast-paced environment

  • Exposure to order management, procurement, or branded merchandise

  • Familiarity with Salesforce, Oracle EBS, Smartsheet, or similar tools - these can be learned on the job

A Note on the Schedule

This role runs Monday to Friday, 10:00 PM to 7:00 AM Manila time, aligned to US business hours. The shift is fixed and non-negotiable. If you've never worked nights before, we'd ask you to think honestly about whether the schedule works for your lifestyle before applying - this is the most important thing to get right before anything else.
