About the Company

We are a growing healthcare consulting company based in Washington, D.C., supporting health systems, insurance companies, and government clients.

As the company continues to grow, the leadership team is looking for an experienced and highly organised Executive Assistant to provide administrative and operational support to multiple company owners.

This is an excellent opportunity for someone who enjoys taking ownership, staying organised in a fast-moving environment, and making senior leaders' lives easier by anticipating what needs to be done.

The Role

The Executive Assistant will work closely with the company's leadership team, providing day-to-day administrative support and helping ensure that important tasks, deadlines, communications, and follow-ups don't fall through the cracks.

The role will initially be part-time, with the potential to increase to full-time as the workload develops and the working relationship progresses.

Key Responsibilities

  • Manage and organise executive calendars and schedule meetings
  • Manage and respond to emails on behalf of company leadership
  • Coordinate communications and follow-ups
  • Provide general administrative support to multiple company owners
  • Assist with invoice-related administration and tracking
  • Support payroll approval processes and employee time tracking
  • Monitor employee leave/time-off requests and help reconcile these with client requirements
  • Assist with maintaining employee and administrative records
  • Help prepare, format, proofread, and review documents
  • Make and return phone calls where required
  • Support the leadership team with ad-hoc administrative projects
  • Assist with CRM and pipeline administration as the company develops its systems
  • Identify tasks that need attention and proactively take action without always waiting for instructions
  • Help improve organisation and administrative processes across the business

What We're Looking For:

We're looking for an experienced Executive Assistant or Administrative Professional who is confident supporting senior leaders and can manage competing priorities independently.

Essential Skills & Experience

  • Previous experience working as an Executive Assistant, Personal Assistant, Administrative Assistant, or similar role
  • Experience supporting senior leaders or executives
  • Excellent organisation and time-management skills
  • Strong written and verbal communication skills
  • Excellent attention to detail
  • Comfortable managing multiple priorities and working with more than one stakeholder
  • Strong Microsoft Office skills
  • Able to work independently in a remote environment
  • Confident communicating by email and phone
  • Strong proofreading and document-formatting skills
  • Highly responsive and able to adapt when priorities change

  • A self-starter: You're comfortable working remotely and taking ownership of your responsibilities without constant supervision.
  • Confident: You'll be supporting multiple company leaders, so you should be comfortable communicating with senior stakeholders and handling sensitive information professionally.
  • Detail-oriented: From proofreading documents to tracking employee hours and administrative information, accuracy is extremely important.
  • Experienced: The company is specifically looking for someone who understands how executives operate and can anticipate their needs rather than someone who requires significant hand-holding.

Software & Systems:

Experience with the following would be beneficial:

  • Microsoft Office / Microsoft 365
  • HRIS systems
  • Payroll and employee management platforms such as ADP
  • Accounting platforms such as QuickBooks
  • CRM systems such as Salesforce
  • Email and calendar management tools

Experience with healthcare, government contracting, or other environments involving confidential or sensitive information would also be advantageous.
