Scope of position As Scheduler, your responsibility is to ensure work is appropriately planned scoped, and resourced for optimal utilisation of staff to meet internal and external customer requirements and complete administration duties. Key duties and responsibilities This role involves key responsibilities across our Townsville and Gold Coast offices, including but not limited to the following: • Answering a volume of calls from clients and team members– first point of contact • Liaising with clients to understand service requests/ requirements • Monitoring and prioritising urgent / reactive maintenance requests to ensure critical jobs are escalated and allocated promptly • Optimising daily schedules and technician allocations to maximise productivity, minimise travel time, and improve service efficiency • Contacting and coordinating multiple tradesmen and sub-contractors to schedule a high volume of service work • Keeping clients up to date with work progress including job completion • Liaising with management regarding jobs and being proactive in providing solutions and resolutions where possible • General administration as required by the General Manager/Operations Manager • Provide additional operational, administrative, and scheduling support as directed by management to meet business and client requirements • Other duties as required HSEQ Responsibilities • Take reasonable care for their own safety and health and for the safety and health of other personnel at the workplace. • Comply with the company’s safe working policies, procedures and environmental procedures. • Report hazards, potential hazards, incidents, injuries, accidents and near misses that occur during the course of work. • Where applicable, identify potential high-risk work in Simpro and allocate relevant safety tags, such as Job - High Risk - SWMS required or Job - Dial Before You Dig. • Where applicable, support subcontractor compliance in the subcontractor register and/or Simpro, including licences, council approvals, safety documentation, before/after photos, invoices and toolbox records. Selection criteria Qualifications / Licences / Tickets / Checks: • Relevant project management tertiary qualification will be advantageous but not essential Skills and experience: • Experience in construction or maintenance would be highly advantageous • Minimum 2 years coordination/scheduling experience (preferably within building/maintenance) • Experience using a variety of computer software packages including MS Office Personal attributes: • Highly developed communication and Interpersonal skills • A high degree of initiative, takes ownership of issues and demonstrates a "can do" attitude • Strong problem-solving skills with the ability to think proactively and provide practical solutions • High attention to detail • Ability to stay calm under pressure and multi-task • Methodical and thorough approach to work • Team player that can also work autonomously • Trustworthy and demonstrates strong integrity
